Overview

Provides administrative and organizational support for a program, department, or business initiative. This position helps coordinate day-to-day activities, maintain schedules and documentation, and ensure information and action items are communicated across departments and team members.

Responsibilities

  • Coordinate and support daily program, department, or project activities.
  • Provide general administrative support, including preparing documents, maintaining records, data entry, and organizing files.
  • Coordinate meetings, calendars, schedules, and appointments.
  • Prepare meeting materials, agendas, notes, and follow-up items as needed.
  • Track action items, deadlines, deliverables, and other program-related activities.
  • Communicate with internal departments, team members, and other stakeholders to ensure activities remain coordinated.
  • Assist with reports, spreadsheets, presentations, and other program documentation.
  • Maintain accurate and organized records and ensure information is updated in a timely manner.
  • Respond to routine questions and requests and route more complex matters to the appropriate team member.
  • Identify scheduling conflicts, missing information, or administrative issues and assist with resolution.
  • Handle multiple priorities while meeting established deadlines.
  • Work independently with moderate direction while maintaining communication with appropriate team members.
  • Perform other administrative and coordination duties as assigned.

Qualifications

  • Previous administrative, program coordination, project support, or related experience required
  • Strong written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks and changing priorities.
  • Strong attention to detail and accuracy.
  • Ability to work independently with moderate supervision.
  • Strong interpersonal skills and ability to coordinate across multiple departments or individuals.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Comfortable scheduling meetings, maintaining calendars, tracking information, and preparing documentation.
  • Ability to maintain professionalism and handle confidential or sensitive information appropriately.
