Overview

The Administrative Assistant is responsible for the compilation, maintenance and reporting of records.   

Responsibilities

  • Manages/creates complex spreadsheets/documents in Microsoft Office Suite including Excel, Word, PowerPoint.   
  • Manages/maintains billing/invoicing spreadsheets. 
  • Exhibit professional demeanor with all phone, email and correspondence exchanges. 
  • Performs office and clerical duties such as scanning/making copies, sending and receiving faxes, distributing faxes to appropriate staff/department, and obtaining signatures on documents as needed. 
  • Generates, prepares, reconciles and maintains files on invoices, shipments, and supplies. 
  • Coordinates equipment maintenance and repairs. 
  • Greets visitors or callers and handles their inquiries or directs them to the appropriate persons according to their needs. 
  • Maintains and updates logs, records and/or files. 
  • Follows all company assigned protocols, procedures and assignments with integrity. 
  • Manages and tracks required compliance records, ensuring all documentation is accurate 
  • Composes, types, and proofreads reports, statistical data, or agendas. 
  • Owns and maintains the department calendar. 
  • Duties and responsibilities may be added or changed at any time at the discretion of your supervisor, formally or informally, either verbally or in writing. 
  • High dependability and concern for others to ensure needs of others are met. 
  • Advanced communication skills (verbal and written) including proficiencies with spelling, grammar, and punctuation. 
  • Ability to keep neat and accurate records.  
  • Ability to read, write and speak in English and in Spanish. 
  • Must have the ability to maintain composure under pressure.  
  • Understanding of importance of safe work practices. 

Qualifications

  • 2+ years administrative experience required; oil & gas operations knowledge a must. 
  • High school diploma or GED equivalent. 
  • Must be bilingual. 
  • Demonstrated proficiency with Microsoft Office Suite and Outlook. 
  • Must exhibit a professional demeanor with all verbal/in person or phone and email/correspondence exchanges. 
  • Ability to work effectively in a team environment as well as by self without direct supervision.  
  • Candidate must reside within a 45 mile radius of the job site. 
  • Must be able to meet all conditional job offer requirements.
